AlertTraveler® > Traveler Locations
AlertTraveler® is an add-on subscription service from Terra Dotta. It features an app for iOS and Android devices and utilizes GPS and itinerary information that is already stored in your Terra Dotta software. AlertTraveler® provides travelers with country and city intelligence, safety and security alerts, and an instant check-in option. Administrators have access to AlertTraveler® through a plug-in to their Terra Dotta software. They have the ability to view alerts, view and act on impacted travelers, and issue check-in requests. Administrators also have access to country and city intelligence.
NOTE: It is recommended administrators use Google Chrome or Mozilla Firefox with Terra Dotta & AlertTraveler. If using Mozilla Firefox and the map within AlertTraveler® > Traveler Locations does not appear, check your privacy options setting for Tracking Protection within Firefox. If set to "Always" this will not display the map in Firefox.
Overview
An admin can see the locations of all of their affected travelers by going to AlertTraveler® > Traveler Locations. The Traveler Locations page allows you to search for, view, and act on all eligible travelers. Traveler Location displays the most recent GPS location of a traveler (if the traveler has provided access to GPS tracking).
The travelers displayed can be filtered by city, country, proximity to a location, date they are abroad, a keyword search, and a particular trip/program name.
Each traveler will be displayed with the following information:
- Map: The map at the top of the screen displays pins for the current locations of your travelers. When multiple travelers are in the same location, a pin is replaced with a number denoting the number of travelers found there (also referred to as a 'cluster'). Clicking a pin or a cluster zooms the map to that location and reveals more information about the travelers located there.
- Clusters will be colored differently depending on the total number of travelers:
- Blue cluster = < 10
- Yellow cluster = >10
- Red cluster = >100
- When viewing individual travelers, the pin colors represent:
- Blue pin = the traveler is not requesting assistance (ex: impacted by an alert but no check-in request has been issued, a Help Request has been resolved, the check-in request status has been set to 'Safe' by the traveler or admin)
- Green pin = the traveler submitted a safe response to a check-in. This green pin only shows on an alert's Impacted Travelers page.
- Red pin = the traveler needs assistance, whether due to a check-in response or a Help Request
- Clusters will be colored differently depending on the total number of travelers:
- User: The name of the impacted traveler. Clicking their name will take you to their profile page.
- Program: The name of the program the traveler is currently on and for which the displayed itinerary applies.
- Last GPS Location: This will display the last known location of the traveler based on GPS. It will also display the time that location was captured. GPS data updates occur as follows:
- Every 8 hours.
- Any time a traveler moves more than 5 KM
- Continuously when a traveler initiates the Help Request function until the Help Request is resolved
- Continuously when a 'Needs Help' response is submitted for a Check-in Request until the traveler is marked as safe
Note: A timestamp will appear marking the last time the traveler's GPS was verified. After 3 days of no updates, a clock will appear next to the GPS timestamp, letting the admin know the GPS location has expired:
- Itinerary Location: This column will display the location recorded in the traveler's application or program itinerary
- App (if shown): This column shows the current license status of the traveler. Please see "License Manager" below for more information about license statuses.
- Assistance: This column shows whether or not a traveler has initiated a Help Request.
- Actions: The Actions column allows an administrator to quickly perform several different administrative tasks using the corresponding icons:
- Message: Real-time messaging with travelers who have initiated “Help Request” and those who have responded to Check-in requests with “Need Help.” Also allows internal notes about travelers needing help.
- Phone: Hover to view the phone number and click to copy the phone number to your clipboard
- Traveler History: Shows history of traveler interactions with AlertTraveler®
- Resolve Request: Interface to resolve help requests when the traveler no longer needs assistance
- Actions: Quick links to send an email or to send the activation email (if the traveler has yet to activate).
You can choose to add or remove these columns from view using the “Hide/Show” dropdown. Clicking a column name will hide/reveal it accordingly.
Under the “Options” dropdown, an administrator has the ability to export all relevant traveler location information into an Excel file, email selected travelers, create an alert (see "Admin-Created Alerts" below) for selected travelers, or send an app activation reminder email to specified travelers (this will send an email with an AlertTraveler activation link as a reminder that they need to activate their app). You can use the filters on the page to narrow down which travelers will be included in the export.
The AlertTraveler® Traveler Locations page also includes the date filter option ‘Next 7 days’, which provides administrators with greater flexibility when searching for travelers. This quick and easy option allows administrators to see who is traveling in the next week.
City Scorecards
From the three horizontal dots in the upper right corner of the Traveler Locations screen, admins can toggle on and off the map as well as the ability to view city scores.
When viewed, the map will show color-coded dots that correspond to overall city safety scores.
Clicking on a city will show you the overall city score as well as city-wide situational safety scores. The situational score categories include:
- Nighttime Safety
- Physical Safety
- Women's Safety
- Theft
- Basic Freedoms
- Health & Medical
- LGBTQ+ Safety
Travelers and admins alike have the ability to see this same information from the Local Safety Map available in the AlertTraveler app.
Help Requests
If a traveler has initiated a Help Request through their app, a banner will be displayed at the top of the Traveler Locations page informing you of this.
Clicking the link in the banner will filter the page to only the travelers needing help. You'll be able to then respond to a help request via instant chat.
A Help Request can be resolved by clicking the 'Resolve Request' icon under the Actions column.
You can see the history of the chat and add any internal notes you may need. Automatic notes will be added by the system as different actions are taken.
Admin-Created Alerts
In the Options dropdown of AlertTraveler® > Traveler Locations, an administrator can use the "Create Alert" option to create an institution-issued or "admin-created" alert which will then be displayed in your list of alerts in AlertTraveler® > Alerts.
A new page appears allowing you to enter the relevant information for the alert, including the headline, start and end date, severity level, incident type, details, and affected areas.
If you first select specific travelers from the Traveler Locations list before clicking the Create Alert option, the Affected Area section of the creation page will be replaced by a count of the selected travelers for which this alert will apply.
Clicking the "Preview" link in either modal view will display a preview of what the alert will look like to your users in both email and SMS forms.
'Send Activation Email'
In the Options dropdown of AlertTraveler® > Traveler Locations, an administrator can use the "Send Activation Email" option to send travelers an email with an AlertTraveler® activation link as a reminder that they need to activate their app.
